Who this covers

Shiftpier is a time-tracking and payroll-prep service run by Shiftpier Ltd. This policy covers the website and the app.

Two kinds of people use Shiftpier. A business signs up and adds its staff: we call that business the employer. The people it adds are its team members. For most of the information below the employer decides what is collected and why, and Shiftpier handles it on the employer’s behalf. If you are a team member, your employer is the first place to ask about your records.

What we collect

  • Account details: your name, email address, and a phone number if you were invited by text message. A profile photo if you choose to add one.
  • Sign-in: you sign in with your email address and a password. The password is stored only in scrambled (hashed) form, so nobody at Shiftpier can read it.
  • Time records: when you clock in and out, your breaks, which place or job site you worked at, and any corrections a manager made, with the reason.
  • Location: on the Team and Crew plans, your phone’s location at the moment you clock in or out. See “Location” below.
  • Scheduling and time off: your shifts, your requests for sick leave and vacation, the decisions on them, and your balances.
  • Pay information your employer enters: hourly rate, overtime rules, and the hours and gross pay Shiftpier works out from them.
  • Payslips: PDF files your employer uploads for you.
  • Business details from the employer: business name and type, locations and job sites with their addresses, teams, and plan.
  • A change log: who changed what and when, so records can be trusted.
  • Technical basics: the cookies listed in our Cookie policy, and standard server logs such as IP address and browser type.

Location

We check location only at the moment you tap to clock in or out, and only to compare it with the place you are clocking in to. We do not follow your location between taps, and the app cannot do so in the background.

A punch from outside the expected area is flagged for a manager to look at. It is never blocked. The Starter plan does not use location at all. Your phone asks your permission first, and you can turn it off in your phone’s settings; your employer will see that punch as having no location.

How we use it

  • To run the service: show who is working, build timesheets, work out overtime and gross pay, keep leave balances, and deliver payslips.
  • To send messages you need: email confirmations, password resets, invitations, and notices that a payslip is ready.
  • To keep the service secure and to find and fix problems.
  • To bill the employer for its plan.
  • To meet legal obligations.

We do not sell personal information. We do not use it for advertising, and we do not share it with advertisers.

Who can see your information

  • You can see your own time records, schedule, leave balances and payslips.
  • Owners and managers of your business can see the records of the people who work there.
  • Supervisors can see who on their own team is working. They cannot see pay.
  • A finance user can see pay information and send payslips.
  • A payslip can be opened only by the person it belongs to and by the people at the business who are allowed to send payslips.
  • People at other businesses cannot see anything about yours.
  • A small number of Shiftpier staff can see business and plan details to run the service and give support.

Companies that help us run Shiftpier

We share information with these providers only so they can do their part of the service:

ProviderWhat it does
SupabaseStores the database and handles sign-in
ResendSends email: confirmations, password resets, invitations, payslip notices
TwilioSends invitations by text message
PolarTakes payment from the employer as merchant of record. Shiftpier never sees or stores card numbers
Our web hosting providerServes the website and app

We may also share information if the law requires it, or if the business is sold or merged, in which case this policy continues to apply to information already collected.

How long we keep it

We keep a business’s records for as long as it has an account. Time and pay records are not erased when a manager removes or corrects them: the original is kept, because wage-and-hour laws require employers to keep these records for several years.

When a business closes its account, its records stay available to export for a period and are then deleted, except where the law requires us or the employer to keep them longer.

Your choices and rights

You can change your name and photo on your Account page. Depending on where you live, you may have the right to see the information held about you, have it corrected, have it deleted, or receive a copy.

If you are a team member, ask your employer first: they control your work records and can correct them. If they cannot help, contact us and we will work with them. We will not treat you differently for making a request. Some records cannot be deleted while the law requires them to be kept.

Security

Information is encrypted in transit. Every record belongs to one business, and the database itself enforces that people can read only what their role allows. Changes to time and pay records are logged. No system is perfectly secure; if a breach affects your information we will tell the affected businesses and people as the law requires.

Young workers

Shiftpier is a workplace tool. Accounts for team members are created by their employer, who is responsible for following the laws on employing young people. Shiftpier is not meant for children under 13, and we do not knowingly collect their information.

Changes to this policy

If we make a change that matters, we will tell business owners by email or in the app before it takes effect. The date at the top shows when this policy was last updated.
